Position Overview

The Administrative Secretary serves in a confidential, high-level capacity to support the four commissioners of the Utah State Tax Commission. Working with a high degree of independence, the incumbent provides comprehensive administrative and strategic support to ensure the effective operation of the Office of the Commission and serves as a primary liaison between the commissioners, agency management, state officials, and the public.

Day-to-day Responsibilities Of This Position

- Confidential Administrative Support: Exercise independent judgment to screen access to commissioners, research inquiries to determine priorities, and maintain confidentiality regarding sensitive policy and personnel matters. Draft high-level correspondence, reports, and talking points.
- Calendar & Relationship Management: Manage complex, high-priority calendars and schedule appointments. Serve as the primary point of contact for internal staff, legislative representatives, and external stakeholders.
- Meeting & Event Coordination: Organize and facilitate Commission meetings, including preparing agendas, materials, and presentations. Handle logistics for extended sessions, trainings, and conferences.
- Administrative Rulemaking & Legal Records: Perform duties related to administrative rulemaking and the appeals process, including submitting rules to the Office of Administrative Rules and preparing records on appeal for the appellate courts.
- Travel & Financial Coordination: Manage travel arrangements and oversee the submission of travel reimbursements, ensuring compliance with state policies.
- Office Operations & Logistics: Oversee routine office management, including maintaining supplies and equipment, managing the office library, coordinating professional memberships, and ensuring the professional appearance of common areas.
- Technology & Special Projects: Assist with Commission technology needs, coordinate continuing education requirements, and perform special projects as assigned.
